Every business has one line running through it. Most owners have never seen theirs.

From the moment someone searches on Google to the moment the invoice is paid, your business is a single line. Throughline Operations builds the website, the search presence and the ads that feed the front of it, and runs the billing, insurance and reporting that get the back of it paid. Then we watch the whole line together, every month.

How it works

Five stages. One owner.

Each stage is a place money leaks out of your business without anyone noticing. We build each one properly, connect them, and put a number on every hand-off so you can see where the line breaks.

Stage 1

Found

When someone in Windsor-Essex searches for what you do, you show up on the map and in the results. Reviews, hours, photos and pages all pulling in the same direction.

Local SEO · Google Business Profile
Stage 2

Chosen

A website that loads fast, answers the questions people actually have, and makes the phone number and booking button impossible to miss on a phone screen.

Website build or rebuild
Stage 3

Booked

Google Ads that only run on the searches that turn into appointments, with call and form tracking so you know exactly which dollar produced which booking.

Google Ads · Conversion tracking
Stage 4

Paid

Every completed procedure claimed. Secondary insurance submitted. Predeterminations followed up. Denials resubmitted. Payments posted the day they arrive. This is where most clinics leak the most.

Billing audit · Remote practice operations
Stage 5

Measured

One dashboard the owner reads on Monday morning: calls, bookings, production, collections, no-shows, spend. Every month we look at it together, fix one process, and decide what to change next.

Dashboard · Process improvement · Monthly review
Revenue recovery · Dental clinics

Is your clinic bleeding money it already earned?

Most clinics are. The work was done, the patient left happy, and the claim never went out. It never shows up on a report, because the report only counts what was billed. The owner feels busy and wonders why the deposit is thin.

  • Are you certain every procedure your team completed last month was billed?
  • When a patient has two insurance plans, does the second claim actually go out? Every time?
  • How many predeterminations came back approved and were never scheduled?
  • Who resubmits the denied claims? When did they last do it?
  • How much insurance money is sitting past 90 days right now? Do you know the number?
  • Is your fee guide current? Are your codes costing you on every claim?
  • If your best front-desk person left tomorrow, would anyone know how the billing works?

If any of those made you pause, you are not alone and it is not your team's fault. Insurance follow-up is the first thing that slips when the waiting room is full. Our practice operations team works inside your software, Open Dental or Tracker, remotely, and finds it claim by claim. Then they recover what can still be recovered, fix the set-up that let it happen, and show your front desk how to keep it fixed.

Thousands a month leak out of a typical clinic in claims never sent, secondary insurance never used and balances never chased. Most of it is recoverable, if it is caught inside the insurers' time limits. What we found auditing our own family's clinics is what convinced us to offer this.

What the audit looks for

  • Completed procedures never billed to insurance or to the patient
  • Secondary insurance on file but never submitted, or never set up at all
  • Predeterminations sent, approved, and never scheduled or never claimed
  • Denied claims that were never corrected and resubmitted
  • Procedure codes and fee guide errors that cost you on every claim
  • Insurance and patient balances aging past 30, 60 and 90 days with no follow-up
  • CDCP and assignment set-up gaps that leave eligible claims unpaid
  • Hygiene recall and unscheduled treatment that is sitting in the chart and not on the schedule
Step 1 · FreeLeak check

Two to three days with a read-only login. Last twelve months of completed procedures against claims, aging, secondary insurance, predeterminations. You get a one-page number. Nothing changes until you say so.

Step 2 · You chooseAudit and recovery

Twenty percent of what we recover, paid only on money that lands in your account, or $2,500 a week flat. Everything still inside the insurers' time limits gets submitted and chased.

Step 3Fix the cause

Insurance plans set up properly, secondary claims switched on, codes and fee guides corrected, the workflow that let it slip rewritten.

Step 4Train the team

Your front desk learns the checks that keep it from happening again. We work beside them until they can run it alone.

Step 5Keep it fixed

A monthly leak check, and a dashboard you own that shows production, collections and aging every Monday. It keeps working after we're gone.

Services

Built to run, not to hand off.

Everything below is set up so it keeps working without you babysitting it. You get the logins, the documentation and people who pick up the phone.

Websites that book

New builds and rebuilds for clinics and local businesses. Mobile first, fast, with the call button and booking form where the thumb already is. Every service gets its own page so Google has something to rank.

You own the domain, the hosting and every login.

Local SEO

Google Business Profile, reviews, citations, service pages and the technical fixes that decide whether you appear in the map pack for the searches that pay. Tracked in Ahrefs and Search Console, reported plainly.

Windsor, Essex County, and across the river.

Google Ads

Search campaigns built from the keywords your best customers actually type, with negative lists, call tracking and form conversions wired in from day one. You see cost per booked appointment, not clicks.

Your account, your budget, your data.
The back of the lineGetting paid, run and measured

Billing audit and revenue recovery

A claim-by-claim review of your ledger inside Open Dental or Tracker. Unbilled procedures, secondary insurance never submitted, predeterminations never followed up, denials never resubmitted. You get a dollar figure and we recover what is still recoverable.

Starts with a free leak check. Read-only, under a signed confidentiality agreement.

Remote practice operations

An experienced practice team working inside your software from Windsor: insurance submissions and follow-up, predeterminations, CDCP, payment posting, aging balances, recall, and training your front desk on the way things should run.

Open Dental and Tracker. Fifteen-plus years of it.

Dashboards, process and automation

One page the owner reads on Monday: production, collections, hygiene, no-shows, phone volume, ad spend. Behind it, the front-desk flow mapped and fixed with plant-floor discipline, and the repetitive work automated so it happens once.

Who this is for

Owner-run businesses where the phone has to ring.

We work best with businesses that have a real front desk, a schedule to fill, and an owner who is tired of being the only person who understands how everything connects.

Dental clinics

Where we started. New-patient flow, insurance and billing, secondary claims, CDCP, hygiene recall, reviews, and the Open Dental or Tracker data nobody has time to read.

Trades and home services

HVAC, plumbing, electrical, roofing. Seasonal demand, emergency searches at 11 p.m., and a phone that has to be answered to win the job.

Professional offices

Accounting, legal, physio, chiro, optometry. Referral-driven businesses that want the website and the map listing to pull their weight too.

Multi-location owners

Two or more locations, one set of numbers. Templates instead of one-offs, so the fourth location launches in a week, not a season.

Current work

A Windsor dental group. Three clinics. A fourth on the way.

A family-owned group that grew from a single clinic to three over seventeen years, and outgrew the patchwork of vendors that came with it. The owner needed one person who could see the whole line.

Throughline Operations runs the group's digital presence, billing recovery and operations reporting on a monthly engagement.

"The point was never a prettier website. It was knowing, every Monday, what the phone did, what got billed, and what to fix this week." Karim Iskandar, Throughline Operations

The team

An operations family, not a marketing agency.

Throughline Operations is three people in Windsor who have spent their careers on opposite ends of the same line. One of us builds the systems that bring patients in. Two of us have spent more than fifteen years combined inside dental practices, in the software, in the insurance, in the daily grind of a front desk, finding where the money leaks and closing it.

We started because our own family's dental group grew from one clinic to three and outgrew the patchwork of vendors that came with it. The websites, the ads, the dashboards, the billing audit that found months of claims never sent. All of it was built for our own clinics first.

You work directly with us. We build it, we run it, we measure it, and we are the ones who answer when you call.

Start free. Pay from what we find. Keep what we build.

Not everyone can see what we see. The leak check costs you nothing. If it finds money, you decide how we're paid for recovering it. Every step after that is smaller than the one before, and everything we build stays yours.

Questions

Asked before, answered plainly.

Do I need all five stages, or can I start with one thing?

Start with one thing. Most clients begin with the piece that hurts most, usually the website or Google Ads, and add the dashboard once they see how much clearer the numbers get. The audit tells us which stage is leaking the most, so we start there.

Who owns the website, the ad account and the data?

You do. Everything is built in accounts registered to your business, with you as the owner and me as a manager. If we part ways, nothing has to be rebuilt and nothing is held hostage.

How is this different from hiring a marketing agency?

An agency sells you the front of the line: the website, the ads, the leads. It has no way to see whether the front desk answered the call, whether the appointment showed up, or whether the money was posted. I build and watch the whole line, and I have spent a career fixing operations, not just generating traffic.

What does the monthly engagement cost?

Three flat packages: Found at $497, Booked at $897 and Throughline at $1,297 per month, plus HST, each priced at about half of what Ontario agencies publish for the same scope. The dental billing work starts with a free leak check. The audit and recovery is then 20% of what we recover or $2,500 a week, your choice, and the monthly leak check is $497 per location. One invoice your accountant can expense. Ad spend is paid by you directly to Google and is separate. Cancel with 30 days' notice.

How does the billing audit work, and is our patient data safe?

It starts with a free leak check. You give us a read-only login to Open Dental or Tracker. Our team reviews the ledger, claims and insurance plans remotely from Windsor and hands you a written report with the dollar figure. Nothing is changed or submitted until you approve it and choose how we're paid. All work is done under a signed confidentiality agreement and in line with Ontario's Personal Health Information Protection Act. We never move patient data out of your system.

We don't use Open Dental or Tracker. Can you still help?

Open Dental and Tracker are where the team is strongest, and that is where we take audits on without hesitation. For other systems, send us the reports it produces and we will tell you honestly on the first call whether we can do the job properly. We would rather say no than guess with your money.

We already have a front desk. Why would we need remote practice operations?

Your front desk is answering phones, greeting patients and keeping the day moving. Insurance follow-up, secondary claims, denials and aging balances are the first things that slip when the waiting room is full. We take that work off their plate, run it every day from Windsor, and train them on the checks that keep it from piling up again.

Do you only work with dental clinics?

No, but that is where the deepest experience is: fifteen-plus years inside Open Dental and Tracker, insurance and billing, hygiene recall and Canadian Dental Care Plan questions. The billing audit and remote practice operations are dental only. The website, SEO, Google Ads and dashboard work applies to trades, professional offices and any owner-run business that lives by the phone.

Where are you located?

Windsor, Ontario. I work on site across Windsor-Essex and remotely for everyone else. Most of the work happens in your systems, so distance rarely matters.
